Exhibitor & Vendor Booth Policies
Pride Northwest Exhibitor & Vendor Conduct Policy – updated 12/1/2011
3. No person shall engage in conduct that disrupts or interferes with the normal operations of the Festival Site, its participants, exhibitors, vendors, or performances, or engage in conduct that disturbs volunteers, contractors, participants or public visitors. This includes, but is not limited to, conduct that creates unreasonable noise; conduct that consists of loud or boisterous physical behavior; disruptive behavior that causes other participants annoyance or alarm; or the use of abusive, threatening, foul and/or overly loud language or gestures.
4. No person shall be under the influence or in possession of illegal or controlled substances at the Festival Site. No alcohol may be carried into, or out of, the Festival Site.
5. No person shall bring unauthorized weapons onto the Festival site.
6. Pets must be restrained by a proper leash of five feet or less. Animal waste is the responsibility of the handler and must be properly disposed of in a waste container.
7. No sound enhancement or generating devices are allowed except those that are specifically authorized in writing by Pride Northwest Inc. If you would like to broadcast sound in your booth, you must email staff@pridenw.org to obtain permission. Failure to do so may result in expulsion from the festival without refund.
8. No person may physically or verbally harass, abuse, threaten or intimidate any other person.
8. No person shall refuse to comply with a reasonable directive of Pride Northwest, Inc., its designated volunteers, or authorized contractors. We reserve the right to turn away any participant at our discretion.
By registering for an exhibitor booth, you are indicating that you have read these policies and agree to follow them. Each registrant is responsible for communicating these rules and regulations to everyone in their group. Each registrant agrees to be responsible for any and all acts or omissions committed by members of your group which may result in injury or damage to themselves or any third party, including city and/or festival property.
Submitting a registration also signifies that you will hold Pride Northwest Inc., its representatives, and the City of Portland, free from any and all claims arising from such acts or omissions.
LIABILITY – Pride Northwest, Inc. is not responsible for damages, thefts, tickets, towing, or related charges that you may incur. The annual Portland Pride Festival is held over a two day period; vendors should plan accordingly. Although security is present throughout the weekend, we are NOT responsible for materials and merchandise left overnight in exhibitor or vendor booths. There is no reserved parking for exhibitors or vendors.
ALCOHOL AND DRUGS POLICY – Unauthorized alcohol (brought into the festival site from outside) and illegal drugs will not be allowed at the festival site. Failure to comply will result in removal from the festival area and possible suspension from future Pride NW events.
BOOTH ASSIGNMENTS - One booth space is 10′ by 10′ square. You may not change the location of your booth space or sell/solicit anything outside of your booth space. Anyone caught changing, sharing or altering their booth space without express permission from Pride Northwest Festival Coordinator will be removed from the festival without refund. NO EXCEPTIONS!
VEHICLE ACCESS - We have very limited vehicle access to the site. You will receive your loading time, booth placement and vehicle access instructions prior to the event. Please plan in accordance with those instructions. No exhibitor or vendor may drive a vehicle onto the festival grounds without permission from Pride Northwest. Any unauthorized vehicles will be ticketed and/or towed at the owner’s expense.
FOOD SALE POLICY - No food or beverages of any kind may be sold or given away except by designated food vendors.
USE OF PRIDE NORTHWEST, INC. NAME – No business or vendor may sell or give away items bearing the current or any past official Portland Pride logos or designs. No generators will be allowed in the park.
RESTROOM POLICY - Please do not use the restrooms in any of the surrounding businesses. We have worked hard to gain neighborhood support of this event by assuring nearby businesses we would provide and strongly encourage the use of our own port-a-pots. If you are not purchasing something there, don’t ask to use their restroom. Your cooperation will help make our festival welcome again at Waterfront Park.
CLEANUP - Lastly, each of you must clean your booth area following the event. If we need to clean up after you we will bill your organization or company for expenses and time incurred.
